Office Administrator

Position Description:

We are currently seeking an experienced Office Administrator to join our team in our Needham office. The ideal candidate should have a project administration, administrative assistant, facilities coordinator background and experience working with external parties (clients, vendors, sub-consultants, property managers, etc.). This role requires a highly motivated self-starter who understands the day-to-day needs of a fast-paced and forward-thinking environment and will play a key role in shaping and sustaining the company’s culture. This role requires onsite presence 5 days per week, Monday – Friday. Part-time (30 hrs) may be considered. Responsibilities:

Customer Service Representative

Position Description:

The Bigbelly Customer Support Team is looking to fill an entry-level CSR Role. (0-2 years experience) The CSR is responsible for ensuring that customers, distributors, and service providers receive professional and courteous support with regards to the company’s products, software, and services. Through email, phone calls, and direct contact, the CSR is responsible for diagnosing problems remotely and determining a resolution, managing the processing of spare part orders, as well as handling customer inquiries, warranty claims and resolution of customer complaints. This role schedules & oversees the service and the return of Bigbelly products using established RMA practices in an efficient and timely manner. The CSR is also ensures that processes follow established company guidelines on servicing and repairs/returns.

This sales quota-bearing position is responsible for the entire sales process for Bigbelly’s small to midsize opportunities and for executing strategic lead generation campaigns. Lead generation campaigns are strategically targeted toward potential Bigbelly customers within the assigned territory and consist of cold calls and cold emails. Success in this role will be dependent on one’s ability to build enough interest with potential customers via cold calls and cold emails that the prospect agrees to a sales web presentation. Ideal candidates for this position must be confident and skillful at giving sales presentations and should be able to navigate sales calls with ease. The Bigbelly solution leverages smart technologies, such as IoT, along with new and traditional manufacturing and materials.

We are looking to add a creative, self-starting mechanical engineer to our current team.  This position is based in our Needham, MA office and offers the option of working remotely a few days of the week.  Ideally, you have experience in design for manufacturing on products using sheet metal and molded plastics and have a proven track record of working closely with contract manufacturers to successfully launch new products.

This role plays a critical part of Bigbelly’s strategy of working with Tier 1 manufacturing partners for our new product launches and continuous refinement of existing products.  This position does require some domestic and international travel.

Bigbelly has an exciting development roadmap for expanding our current capabilities on both the smart physical hardware and our integrated digital media platform.  This position plays a critical role in executing that plan.

You need to be as comfortable working in a SolidWorks CAD mechanical design environment as you are working with actual prototype parts in an Engineering Lab environment.  This position will require you to work hands-on with prototypes and conduct extensive testing of new ideas.

Responsibilities:

  • Lead product development projects from concept to detailed design to tested prototypes to successful production launch
  • Drive cost reduction through new design and new manufacturing techniques

This is a technical role for an individual contributor; You must have UI/UX experience defining web applications (mobile application development is also desirable), along with a proven history of working as technical contributor, writing front end code, for web applications.

In this role you will be examining existing products and helping develop new products with the goal of providing modern, intuitive and user-friendly digital tools for our customers and service providers.

  • Maintain and extend Bigbelly’s web application, written with JSP, JavaScript, Bootstrap, CSS, jQuery, and HTML5

Accounts Receivable Accountant

Position Description:

We are currently seeking an Accounts Receivable Accountant to join our team in our Needham office. The ideal candidate should have 2-3 years of direct accounting experience. Bigbelly offers a hybrid work schedule with 3 days in our Needham HQ office and 2 days working from home (after training is complete).

Responsibilities:

  • Lead the monthly billing process by ensuring the timely and accurate invoicing of customers
  • Establish relationships with key business partners & customers, and liaise directly with customers as the main billing contact for invoicing and collection activities
  • Verify discrepancies and resolve clients’ billing issues
  • Facilitate payment of invoices due by sending bill reminders and contacting clients
  • Maintain an orderly up-to-date electronic filing system for all receivable transactions
  • Work cross-functionally with Sales, Customer Support, and Account Management teams to understand customer relationships for timely collection efforts
  • Prepare weekly A/R reporting for management review
  • Perform financial transactions, posting, and recording account receivables’ data
  • Assist Finance team and complete required GL recons for month end closing
  • Assist in annual audit, compiling accounts receivable information as requested
  • Receipt of checks and preparation of bank deposits as needed
  • Assist Corporate Controller with credit reviews of customers and determine payment terms to minimize bad debt risk
  • Review customer and supplier contract terms and conditions and implement processes to comply with various contract requirements
  • Perform ongoing maintenance to the accounts receivable reporting tools and other financial systems
  • Drive process improvements in the billing, collections, and AR functions
